General Description of Position:
The Systems Office Grants Officer ensures the health and success of Systems Office grants and sponsored programs at Ivy Tech. This position is responsible for certain pre-award compliance review functions, post-award programmatic and financial management of grants, and grants compliance monitoring.
Major Responsibilities:
Weekly:
Review narratives, budgets, metrics, and budget justifications for Systems Office grant proposals. Offer proposal feedback to Foundation and key grants staff.
Submit final approved federal proposals to the granting agencies.
Review contracts for accuracy and manage the review and signature process associated with grants-related contracts.
Assist Executive Director of Sponsored Programs & Grants Compliance and Sponsored Programs Accounting with award set-up including checklist review and budget review.
Review and approve grant expense and travel requests.
Route requests for grant modifications and sponsored programs fund request forms.
Advise project directors on programmatic processes required by the grant, such as reporting reminders, dual reviews of reports, and proper verbiage for recognition of granting agency.
Provide as-needed training and technical assistance to project directors.
Advise on grant compliance requirements, including but not limited to grant modifications, purchasing allowability, etc.
Advise on College policies as related to grants, including one-time pay and procurement policies.
Perform periodic time and effort reconciliations, labor redistributions, downloads/offloads, and journal entries as necessary.
Monthly:
Ensure proposal and post-award compliance align with grantor and College policies and procedures.
Monitor budget and expenditure activity of assigned grants. Ensure consistent and appropriate spend rate.
Monitor programmatic activity on assigned grants including meeting metrics, reporting to Sponsors, etc.
Provide proactive account management, financial projections, and account balance reports for project directors. Report noncompliance issues to Executive Director.
Meet monthly or as needed with assigned grant project directors. Work to resolve any compliance issues and create proactive guidance. Report any issues to Executive Director.
As Needed:
Monitor and update agency contact information and maintain grant reporting in ERP system.
In collaboration with the Executive Director of Sponsored Programs & Grants Compliance and Assistant Vice President of Sponsored Programs & Project Implementation, conduct monitoring processes for grants, including site visits and desk reviews.
Assist Executive Director of Sponsored Programs & Grants Compliance in developing content for trainings and communities of practice. Present periodically and as needed on such trainings.
Prepare budget modifications and no-cost extensions for submission to Sponsor agencies.
Provide assistance during audits and grantor site visits.
Assist the Assistant Vice President of Sponsored Programs & Project Implementation with providing project and grants progress updates as needed for division leaders, president and cabinet, and state board of trustees.
Assist the Assistant Vice President of Sponsored Programs & Project Implementation with content for project and grant spotlights.
Stay abreast of changing regulations and best practices for grants management.
Serve as a backup to the Director of Accounting for business office functions on Systems Office grants.

Minimum Qualifications:
Associate's degree with three or more years of grant management and budget development experience or Bachelor's degree in finance, business administration, public affairs management, or related field required.
Strong project management is essential.
Experience with Microsoft Word and Excel is essential.
Excellent oral, written, and interpersonal communication skills required.
Must be detail oriented, positively anticipate, and respond to frequently changing priorities and provide unparalleled customer service.
Occasional travel on College business is required.

Preferred Qualifications:
Experience working with federal grant programs and Uniform Guidance regulations.
