The Role:

We have a great opportunity for an outstanding Executive Assistant to support our CFO, CBO, VP Investor Relations, VP Finance, and VP Business Development. The successful candidate will have strong organizational and administrative skills, a high degree of professionalism, experience dealing with senior external stakeholders, and excellence in both written and oral communications. What You Will Do:

    n
  • Proactively manage complex calendars requiring prioritization of multiple leadership calendars with effective communication across various stakeholders
  • n
  • Monitor calendar activity throughout the day, reschedule activities if conflicts arise, provide reminders of upcoming activities to ensure that appropriate time is scheduled
  • n
  • Manages all correspondence and communication that comes into the executive’s office, apprises executive on nature/priority of each item, and coordinates responses; At times, will make independent decisions regarding scheduling, distribution of calls and e-mails, etc.

  • Drives internal and external interactions with senior stakeholders (e.g., Board members, pharma senior leadership, investors), in a sensitive and professional manner
  • n
  • Coordinate and manage high-level meetings for internal and external stakeholders, including leadership and staff team meetings
  • n
  • Attend department meetings, create agendas, take minutes, and follow up on agenda items
  • n
  • Assist with coordination and management of department all-hands, events and off-sites
  • n
  • Applies substantial knowledge in the coordination of sensitive reports and analysis (e.g., budgets, board materials, and highly confidential correspondence); Submits monthly accruals to Finance department and keeps track of ongoing budget; Collaborates with Legal and Finance departments to create and maintain Purchase Orders.

  • Manages multiple projects simultaneously and proactively shifts priorities and identifies and solves potential issues
  • n
  • Handles confidential information and interaction with a high level of diplomacy, discretion, integrity, and judgement
  • n
  • Successfully creates professional documents, slide presentations, excel spreadsheets etc.
  • n
  • Coordinates shared workspace for conferences and meeting rooms (zoom meeting room experience a plus)
  • n
  • Prepares timely expense reports and may coordinate both domestic and worldwide travel plans
  • n
  • Collaborates with other administrative staff members in coordination of calendars, requests, and events
  • n
  • Provide expense reconciliation and management, including compiling receipts to file and tracking of reimbursement status
  • n
  • Partner with administrative colleagues for company-wide events and to provide back-up support, as needed
  • n
  • Flexibility to be onsite- in office, as needed to effectively support the team
  • n

What You Will Bring:

  • BS/BA preferred
  • n
  • 8 years’ senior administrative experience supporting leadership teams
  • n
  • Demonstrated experience multi-tasking in a fast-paced work environments with changing priorities
  • n
  • Previous biotech experience preferred with Finance, Investor Relations, Business Development
  • n
  • Demonstrated ability to handle sensitive and confidential information with discretion and diplomacy required
  • n
  • Proven ability to be a strong communicator - providing updates, handling last minute changes and problem-solving “on the go”
  • n
  • Excellent organizational skills - schedule meetings and appointments
  • n
  • Anticipates potential problems that could impact the executive and coordinates solutions
  • n
  • Ability to continuously shift focus and priorities under pressure to meet deadlines
  • n
  • Proven ability to exercise sound judgement in the prioritization of multiple and competing requests
  • n
  • Experience interacting with internal and external senior stakeholders
  • n
  • Outstanding written and oral communication skills
  • n
  • Expert knowledge of MS Office applications including MS SharePoint, PowerPoint, Excel, Word, Outlook required
  • n
  • Experience working with Apple - MAC systems, Confluence software a plus
