Montana Campus Compact (MTCC)
invites applications for an
Operations and Finance Manager
to join their team. The person assigned to this position will provide leadership and oversight for the Campus Compact network office operations, including development, compliance, financial management, personnel and communication. This role supports a 17-campus network dedicated to public service, student engagement and addressing community needs. This position is responsible for managing student employees, including a graduate student or work-study student intern.
Operations
Create, develop, and implement systems and procedures for staff operations.
Serve as liaison with other UM departments, including Business Services and HRS.
Manage and ensure departmental compliance with funders and partners.
Manage and ensure departmental compliance with UM policies and procedures.
Lead and coordinate staff committees and task forces as assigned for special initiatives.
Provide training on MTCC systems to external audiences at member campuses.
Provide training for departmental staff on MTCC/UM procedures and protocols.
Financial Management
Manage and oversee all income and expenses, including reconciliation of expenses.
Manage all programmatic and affiliation and membership processes and ensure proper accounting.
Create and manage systems for invoicing, tracking, and collecting MTCC revenues.
Supervise and maintain all MTCC financial records.
Research, negotiate, and contract with vendors/professionals for goods and services.
Manage all financial logistical needs for staff training and special programmatic events.
Prepare monthly grant spend down plans, ensuring grant-funded programs are meeting funder expectations and utilizing available resources;
Prepare monthly unit budget reports, tracking revenues and expenses, and anticipating future events.
Provide professional support for grant budget development, reconciliation, expenditure-match reporting, funder visits and audits.
Manage hiring and termination paperwork and state required procedures for grant funded programs.
Develop and maintain file management procedures and systems for MTCC records and grant documents.
Manage and process payroll.
Development and Communication
Create grant budgets and narratives for all AmeriCorps funding.
Lead all awards and scholarship processes.
Provide professional support for data collection, aggregation, publication, dissemination.
Manage and coordinate the preparation and publication of Annual Report and other publications.
Update and create content for mtcompact.org.
Lead MTCC social media and monthly communications with the statewide campus network.
Assist with implementation of innovative strategies and special programs to support the equitable distribution of MTCC programming and resources.
Prepare MTCC’s annual Impact Report.
Assist with board and funder communication.
Following the training period, the staff member will have a working knowledge of the Montana Campus Compact network office and affiliate campuses in detail, will be skilled in using UM Data Warehouse, Grizmart, Banner, and understand the process and flow of the departments Accounts Payable/Receivables. This individual will have a good understanding of whom to contact when issues arise or when needing assistance on how to process a task (i.e. business services for invoices not being processed, Human Resources for paycheck issues, ORSP for grant questions.) The individual will have an idea of how to prioritize projects with the daily multitasking that is needed to maintain the workflow of this position. This person will understand the grant process and how to keep it well organized, compliant and on budget.
Required Skills

Ability to prioritize and manage multiple tasks in a timely, professional manner.
Working knowledge of standard office procedures and ability to learn University policies and procedures.
Ability to assist in developing and implementing office procedures and systems as needed.
Aptitude wit preparing mailings, filing, and processing routine forms and paperwork.
Ability to be professional and customer-oriented in representing the department when working with people such as AmeriCorps members, Deans/Presidents/Chancellors and their staff, as well as constituents in our community and our affiliate’s communities.
Program and/or project leadership and management experience.
Strong understanding of grants management, budgeting, accounts receivable and payable.
Excellent communication skills, both written and oral, and the ability to effectively communicate with diverse populations and stakeholders.
High ethical standards to handle confidential criminal background check results.
Proficiency with office hardware (computers, telephones, printers, scanners) and software, including the following: Word, Excel, Outlook, Canva, WordPress.
Knowledge about Montana culture and communities, including experience in the higher education and nonprofit sectors.
Experience with HR and payroll policies and procedures.
Ability to work independently and maintain consistent office hours, between 8:00 AM and 5:00 PM, Monday through Friday, throughout the calendar year (including summers).
Minimum Required Experience
High School diploma and two (2) years’ experience or an equivalent combination of education and experience.
Preferred Qualifications
Bachelor’s degree in business, accounting or related area
Federal grant management experience, especially AmeriCorps and AmeriCorps VISTA
Professional experience as an administrator and/or office manager
Experience working with AmeriCorps or national service programs
Experience using UM database software and systems, including Banner and UMDW
Background in website maintenance
Proven ability to work with diverse cultures, including tribal, aged, rural and high-poverty communities; ability to work collaboratively within a group, as both contributor and occasional project leader
