This Executive Assistant will support two business executives in Tax and Finance. This is a highly visible position, with frequent exposure to internal Leadership and C-level Executives (including the CFO, CEO and COO) and you
will need to possess a high level of professionalism, confidentiality, and discretion, along with a strong attention to detail and accuracy. The role requires the ability to proactively manage calendars, in a rapidly changing environment, and anticipate future activities and priorities to ensure both leaders are prepared for all meetings and events. This individual will also interact with community and industry leaders and members of government and their staff.
What you will do:
Proactively manage calendars, email, calls and other correspondence, while anticipating challenges and conflicting priorities and helping to navigate the requests with a calm sense of responsibility
Coordinate domestic and international travel (when necessary); prepare expense reports and ensure timely submission and accurate completion
Exhibit strong problem-solving and project management skills to assist executives in organizing and planning day-to-day, weekly, and monthly cadence
Maintain confidential records, files, and reports
Proactively assist the coordination, planning and administration of department meetings and/or events, including the agenda and meeting minutes
Prepare correspondence, presentations, and documents, as needed for onsite and offsite partnership/team meetings
Responsible for CLE reporting, and maintenance of licenses and memberships and organization of forms and files
Collaborate, share and model best practices and efficiencies with the Executive Assistant teams to foster and build relationships
Be a voice for the team in building the culture and the collaboration among the different cross-functional departments and teams
Be a learner, open, honest, and collaborative with all levels of the organization
Minimum Requirements
5 years of administrative experience, or any equivalent combination of experience and training that provides the required knowledge, skills and abilities with 3 or more years directly supporting a senior leader/executive
Intermediate MS Office and business software skills
Excellent written and verbal communication and time management skills
Preferred Qualifications
Experience using expense reporting software, Oracle preferred
Experience working in a Finance, Tax and or Legal environment
