Position Summary
(Classified as: Library Services Specialist II)
Full-time position available on or after April 1, 2022 for the Library.
Under the general supervision of the Dean and day to day lead direction of the unit leads the Circulation & Interlibrary Loan Specialist is responsible for opening and closing of the Library, assisting library patrons, maintenance of library collections and stacks, leading the work of student assistants, and general coordination of Circulation operations in the absence of other Circulation staff members. The incumbent is also responsible for answering and processing interlibrary loan requests on online systems, retrieval of loan materials from online resources and stacks, preparing outgoing loans, and receiving borrowed items from other libraries.
Job Duties
Duties include but are not limited to: Perform opening and closing functions of the library.
Check-out and check-in library materials (books, periodicals, reserve items, DVDs, etc.) and equipment (laptops, headphones, chargers, and cables) using the online library system.
Assist patrons in the use of the library catalog, including questions about individual titles and renewal of existing loans.
Answer general library questions in person, by telephone, or via email, applying knowledge of library policies and distinguishing between circulation-related problems and those needing referrals to another functional unit or the research help desk.
Share the day-to-day operational functions, such as paging library materials from the stacks, performing and/or supervising the performance of shelving, shifting and re-shelving of library materials, and transferring materials from the reading room to the main stacks.
Share the responsibility for training, assigning, and monitoring the work of circulation student assistants. Provide backup support for tasks handled by circulation co-workers.
Initiate CSU resource sharing notices in the library's online system; print, retrieve, process, categorize, sort, and pack CSU materials for delivery via the contracted courier.
Keep daily statistics of library traffic, usage, and help desk transactions.
Assist with inputting notes in patron records concerning charges, holds, etc. in the library online system, as needed.
Notify faculty members of the status of requested items via e-mail and inter-office mail.
Notify patrons when items are ready for pick up.
Assist patrons in the use of equipment such as microform reader/printer, copy machine, and audio and visual equipment.
Assist patrons in the use of the mobile stacks.
Perform basic troubleshooting and report equipment issues.
Be familiar with emergency procedures; enforce library rules and monitor the library to ensure appropriate building use; contact campus police in case of serious infractions or emergency.
Respond to interlibrary loan requests (lending and borrowing) received via the online system ILLiad or other utilities.
Utilize the library online catalog, WorldCat/OCLC Resource Sharing system and other databases to identify bibliographic records and verify citations.
Perform and/or oversee the retrieval of articles or chapters from online resources and scanning from print and microform sources to fill requests. Deliver articles electronically via ILLiad and email.
Perform and/or oversee the retrieval of books and other materials from library stacks.
Perform and/or oversee the processing and checking out of materials for shipment via courier, mail, or UPS.
Monitor and update request status in ILLiad or alternate document supply sources, including replying to inquiries regarding lending requests, handling requests for renewal, and managing overdue materials.
Maintain and update borrower database in ILLiad as needed.
Process lending charges using OCLC/IFM ILLiad billing module and/or invoices.
Process materials returned from borrowing libraries and materials to be returned to lenders.
Assist with training and overseeing the work of student assistant(s).
Assist patrons with Interlibrary Loan registration functions of ILLiad Interlibrary Loan system.
Troubleshoot conditional, unfilled, and problematic borrowing requests.
Assist in managing notices, fines and patron restrictions for overdue or lost materials.
Other duties as assigned.
Minimum Qualifications
Education: High school diploma or equivalent.
Experience: Three years of progressively responsible related library and/or clerical experience or an equivalent combination of experience and education. A bachelor's degree in job related field may be substituted for one year of experience.
Knowledge, Skills, Abilities
General knowledge of library policies and procedures and more specific knowledge of policies and procedures and work methods pertaining to the assigned functional area and work unit.
Ability to interpret library unit's policies and procedures and apply them accurately in performing work functions, as well as the ability to evaluate procedures and recommend changes.
Full proficiency in all technical aspects of work assignments including a thorough knowledge of functional area policies and procedures and applicable work methods.
Working knowledge of library terms and bibliographic formats and structures, including the ability to conduct a simple bibliographic search.
General knowledge of library collection organization and classification scheme and ability to interpret bibliographic records.
Working knowledge of the institution's and library's policies and practices associated with ethical use of and access to library and on-line resources.
Basic knowledge of national standards and guidelines pertaining to libraries, including working knowledge of institution's standards pertaining to copyright and intellectual property protection and the ability to source and apply such policies and standards to avoid potential violations.
Knowledge of basic library research methodology and the ability to use it.
Full proficiency in the use of automated library system(s) and subsystem(s) pertaining to functional area.
Ability to access various on-line resources and databases used within the library and to use their standard features to perform technical work and/or assist patrons.
Ability to fully utilize standard and non-standard features of various on-line resources and standard desktop software packages, such as work processing and spreadsheets, to perform technical work or assist patrons.
Demonstrated problem solving and research skills to address standard and non-standard work problems.
General knowledge of library accounting and budget procedures, including the ability to perform arithmetic operations to track and monitor vendor accounts and budgets.
Demonstrated ability to compile and present information in an organized manner.
Effective communication skills, including the ability to work with the public and assist patrons with basic inquiries and direct them appropriately in locating and using library materials and inform them of applicable library policies and procedures. Effective communication and interpretive skills to be able to assist in resolving patron problems and complaints, assess patron information needs, and orient and guide patrons in use of library resources.
Ability to effectively provide lead work direction and training to student workers and an understanding of employment and payroll procedures related to student workers.

****Weekly work schedule will be Friday to Tuesday during fall and spring semesters; and Monday to Friday during winter and summer terms.
Salary Range
Anticipated salary will be $3,319 - $3,651 per month plus excellent paid benefits.
Salary will depend on the qualifications of the successful finalist. (Full Library Services Specialist II range: $3,319 - $5,983 per month)
